The amount of electronic data being generated by companies and individuals is spiraling out of control. More data has been created in the past two years than in the entire previous history of the human race – and by 2020, approximately 1.7 megabytes of information will be created per person per second. The statistics are mind-blowing, but stop and think for a minute about what’s happening to all this data. How much of it is going, willy-nilly, into your archives?

The problem faced by many companies is the fear of losing something important, they hang on to absolutely everything. Instead of operating an information governance strategy outlining what should and shouldn’t be kept, they’re hoarding every single electronic communication and document generated in the day-to-day running of their business. But this means, that when one of their employees wants something, it’s practically impossible to find.

Elevated data storage brings elevated risks – in the areas of privacy, security, disclosure and litigation. A good information governance strategy can balance these risks by taking a minimalist approach to archiving. However, ownership of such a strategy needs to be in the right hands. IT know how to store the data, but legal need to dictate what gets stored – in other words, they need to become the informed risk taker.

However, what can you do if you already have a mountain of data archived? How can you trim it back to something more manageable? There are in fact document reviewers and tools that do this for you, allowing you to regain control of your information. When you have too much, no one can really know what exists, and keeping everything can become expensive. It’s essential to get a strategy in place to reduce what you’ve got and to limit the amount you store going forward.
